Samples

Samples are small product units which are examined by an external laboratory or by the internal quality control.

Samples must be selected so that they are representative of the respective batch. With the help of samples, the qualitative condition of a batch can be traced. They also provide an overview of when each batch is being tested and when the test results can be expected. Depending on the test results, entire batches can be released or blocked for further processing or distribution.

To reach the Samples overview page, click Quality > Samples.

At the top of the page, you will see four tabs:

  • Inventory: Your inventory shows you all the current samples you currently possess in the system with the following information: Sample ID, Batch source, Lab testing status, Content, Cultivar(s), Date and Amount.

  • Archive: This tab shows you all the samples you have archived.

  • Notes: Here, you can see all notes you have created relating to your samples.

  • Log: The log is a system-generated record of all actions that have been performed on the system relating to samples. The log cannot be edited.

In the following section learn how to create a sample and the different actions you can take regarding samples.

Creating a sample

  • To create a new sample, click on Quality > Samples in the menu bar and then on the green Create Sample button.

  • In Content, specify what the sample consists of. This can be blooms, trim, or other forms of biomass.

  • Use the ▼ drop-down menu to select the Source type from which you will take the sample. Currently, samples can be taken from article batches, harvest batches, drying batches, and plant batches.

  • Once the batch type is defined, you can select the corresponding batch from another drop-down menu ▼. For example, if you have selected the batch type Harvest batch, all harvest batches from which you can take a sample will be displayed.

  • Enter the Date of sampling.

  • Under Weight, enter the sample weight in grams.

  • Click on Save to create the sample and return to the Sample overview page.

Editing a sample

In the Sample overview page (Quality > Samples), in addition to the Sample ID, the following table headings can be seen:

  • Batch source

  • Lab testing

  • Content

  • Cultivar(s)

  • Date

  • Amount

  • Last modification

  • Action

A sample can be edited with the following buttons:

Lab (*Will only display if you have not yet submitted the sample for lab testing)


Order (*Will only display after you have submitted the sample for lab testing)

Submitting a sample for laboratory testing

Lab samples can be sent directly to a connected lab, allowing analysis results to be digitally assigned to the corresponding sample in the Cannavigia software.

Note: Currently only CBD-Test (http://cbd-test.ch ) is integrated. However, we are working on developments that will allow users to add affiliated laboratories directly into the software.

  • In the Samples page (Quality > Samples) click on the green Lab button for the sample you wish to send to the laboratory.

  • The Submit for testing dialog box opens.

  • Select the Lab from the drop-down list. Note: Currently only CBD-Test (http://cbd-test.ch ) is integrated. 

  • Select the desired Laboratory analyses by ticking the corresponding entries. For most tests, you have the option between standard delivery (3-5 working days) or express delivery (1-2 working days).

  • Read and accept the terms and conditions from http://cbd-test.ch by ticking on the box at the end, provided you agree with them.

  • Click Save to accept the information and close the dialog box.

  • You will be taken directly to the detailed view of the laboratory sample you have just created, from where you can check and download the laboratory order.

Downloading an analysis order form

After submitting your sample for testing through the Cannavigia software, you can also download a lab analysis order form to be printed out and sent with the sample to the lab.

  • Click on the green button Certificate of analysis under PDF.

  • The analysis order form will be generated in a new tab.

The analysis order automatically uses the client’s address that was recorded under Settings > Company profile.

In addition, the following information can be seen in the analysis order:

  • Requested analyses and estimated duration until receipt of the analysis results

  • Sample amount

  • Laboratory address

  • Before sending the analysis order, check whether all information is complete and correct.

Adding notes to packages

  • In the Samples page, click on the green button with the Add note symbol.

  • The Add note dialog box opens.

  • Here you can record comments, thoughts or other notes about your sample.

Generating QR code for packages

  • In the Samples page, click on the green button with the QR symbol.

  • The system will add the QR code to the Print Center.

Archiving a sample

If a sample was entered by mistake or with incorrect information, you can archive it.

  • To do this, click on the gray button Archive in the Samples page.

  • A pop-up will open asking you to confirm your action. Click OK to proceed.

Note: You can restore an archived sample at any time by clicking the Archive tab in the Samples page and then clicking the grey Restore package button.

The Detailed sample page

The Detailed sample page shows you in-depth information about a particular sample batch. Here, you are able to upload existing lab results, add a note, generate a QR code as well as download an order form for that batch.

In the Detailed sample page, you are also able to see previously uploaded lab results as well as notes and the system-generated log of that batch.

There are two ways to reach the Detailed sample page:

1. In the Samples page (Quality > Samples), click on the green View icon

2. In the Samples page (Quality > Samples), click on the highlighted green Sample ID of the sample batch you wish to upload lab results for.

  • You will be brought to the Detailed sample page.

Uploading existing lab results

  • At the top right corner, click on the green button Upload existing lab results.

  • The Upload existing lab results dialog box opens.

  • Click Choose File and navigate to the folder where the desired document is stored. In the Search field, you can search and select the desired file.

  • Click Save to upload the file and close the dialog box.

  • The collected data can now be seen in the following 3 tabs in the Detailed sample page:

    • Lab results

    • Notes

    • Log
